Behind the Scenes: How We Design The Summit Experience From the Inside Out

City Hall during The Summit

Designing AV for The Summit doesn’t start with equipment lists or room diagrams.

It starts with outcomes.

From day one, our collaboration with The Summit team has been rooted in a shared mindset: design every space with intention, clarity, and the attendee experience at the center. What follows is a behind-the-scenes look at how that philosophy translates into real execution.

Starting With the End Result (Before Any Technical Decisions Are Made)

Before we talk about screens, lighting, or sound, we align on one critical question:

What should attendees walk away feeling, thinking, and doing differently because they attended The Summit?

For The Summit, that answer consistently centers on:

  • Meaningful connections

  • Practical, high-value education

  • Energy that sustains through the education to after-hours

  • Spaces that encourage conversation, not fatigue

This clarity sets the guardrails for every design decision that follows. It allows us to reverse-engineer the technical approach so AV actively supports the Summit’s mission, not just fills a room.

Understanding the Attendee Makeup (Because The Summit Audience Is Intentional)

The Summit attracts a highly engaged, diverse audience from senior hospitality leaders to emerging professionals, sponsors, and exhibitors. Each group interacts with the event differently.

Behind the scenes, we dig into:

  • Who is attending and why

  • How attendees move between education, networking, and exhibit spaces

  • Where energy needs to be elevated and where it needs to soften

  • How accessibility, sightlines, and audio clarity impact engagement

This insight informs everything from room layouts and screen placement to audio coverage and lighting tone. The goal is simple: remove friction so attendees can focus on what matters

Designing the Full Attendee Journey — Not Just Individual Rooms

One of the biggest misconceptions about AV is that it’s room-specific. For The Summit, we take a broader view.

We design AV around the entire attendee journey, including:

  • Arrival moments that set the tone

  • Education spaces built for focus and clarity

  • Exhibit and networking areas designed to feel inviting, not overwhelming

  • Transitions that maintain momentum throughout the day

Each space has a purpose, and AV reinforces that purpose. When done well, attendees don’t notice the technology, they feel the experience.

Translating Vision Into Intentional Design

Once the goals and journey are defined, we translate vision into execution with discipline.

For The Summit, that means:

  • Audio systems engineered for clarity and comfort, not volume

  • Visual layouts that support storytelling and learning

  • Lighting designs that guide energy and attention

  • Technical solutions that scale across multiple spaces without inconsistency

Every element earns its place. If it doesn’t enhance the attendee experience or support The Summit’s objectives, it doesn’t make the cut.

Building for Real-Time Flexibility

Live events are dynamic by nature, and The Summit is no exception.

Behind the scenes, we design systems and workflows that allow for real-time adjustment without disruption. Whether it’s responding to evolving session needs, room flow changes, or on-site priorities, our goal is to adapt seamlessly while protecting the attendee experience.

That flexibility is what turns strong planning into confident execution.

The Takeaway: AV as Experience Architecture

For The Summit, AV isn’t an add-on, it’s experience architecture

When technical design is aligned with attendee goals and stakeholder vision, it:

  • Elevates education

  • Encourages connection

  • Builds trust with speakers and sponsors

  • Creates a cohesive, high-impact event experience

Our work behind the scenes is intentionally invisible, but its impact is felt in every interaction, every session, and every connection made on the show floor.

As we look ahead, we’re energized by the collaboration we’ve built with The Summit team and excited to continue pushing the experience even further. The foundation is strong. The opportunity is bigger. And the work continues.
